How to search for and open a supplier record

  1. On the main toolbar click the Suppliers button.
    The Find Suppliers page appears.

  2. In the Search for field, type in the name (or part of the name) of the supplier you want to search for.

Tip: to display all the suppliers, either leave the Search for field blank and then click Search, OR type "%" in the Search for field and then click Search

  1. Select the Hide form when only one item found check box if required.

    If you select the Hide form when only one item found check box, and there is only one record that matches your search criteria, the application directly displays the relevant page for that record instead of the search results page, where you would have to click the listed record to open it.

  2. Select the Search any part of name/code check box if required.

    If you select the Search any part of name/code check box then the search results that are returned will contain the search criteria you have entered in any part of the record name. When this check box is unchecked, only records with the search criteria at the beginning of the name will be returned. For example:

    • you enter 'mit' in the Search for field when searching for an employee. The Search any part of name/code check box is clear. The results will only contain employees that have 'mit' at the beginning of their first or last name, such as 'Mitchell' or 'Mitch'.
    • you enter 'mit' in the Search for field when searching for an employee. The Search any part of name/code check box is selected. The results will shown any employee whose name contains 'mit' somewhere within it, such as 'Smith', 'Mitchell' or 'Amit'.
  3. Select the Include closed suppliers check box if the supplier you want to access is a closed supplier.

  4. Click Search or press the [Enter] key.
    The results that match your search criteria are listed in the window.

  5. Double-click the record you want to open.
    The Supplier page for the selected record is displayed.

Tip! you can group the search results by dragging a column heading to the grey area above the list to group by that column. For example, if you drag the column heading Partner to the grey area, the list shows suppliers grouped by partner.

You can right click within the list to access the Field Chooser and New Task options. You can also copy the selected contact name to the clipboard from here for use in other applications.

New Task
Click this option to view a list of activity tasks that you can create for the selected record (the tasks are the same as those listed on the Task Bar). When you click an activity in the menu the Task Details window will open and you can define the activity details. This option is not available when searching for employees.

Field Chooser
From here you can select the fields of information you want to be displayed with the listed records. Drag fields onto the list area from the window, or vice versa.

How to find and open a second record

Note: the following procedure is applicable to contact, client, supplier, assignment and employee records.

  1. With the first supplier record open, hold the [Shift] key down and click the Search or Search link on the Task Bar. The Find Supplier window appears.
    The links on the Task Bar dynamically update based on whether the active record is a client, contact, supplier, assignment or employee record. For example, if you have a client record open, the Task Bar displays the Client Search link.)

Tip! to display all the suppliers, either leave the Search for field blank and then click Search, OR type "%" in the Search for field and then click Search

Note: if you do not hold the [Shift] key down when clicking the search link on the Task Bar, the first supplier record will close when the second record opens.  To keep the first record open, you must hold the [Shift] key down when clicking the search link on the Task Bar.

  1. In the Find Supplier window Search for field, enter the name (or part of the name) of the record you want to search for.

  2. Select the Hide form when only one item found check box if required.

    If you check the Hide form when only one item found check box, if there is only one record that matches your search criteria, the relevant page for that record will open automatically rather than being listed in the search results where you would have to click it to open the record.

  3. Select the Search any part of name/code check box if required.

    • If you check the Search any part of name/code check box then the search results that are returned will contain the search criteria you have entered in any part of the record name. When this check box is unchecked, only records with the search criteria at the beginning of the name will be returned. For example:
    • If you do not hold the [Shift] key down when clicking the search link on the Task Bar, the first supplier record will close when the second record opens.  To keep the first record open, you must hold the [Shift] key down when clicking the search link on the Task Bar.
  4. Click OK or press the [Enter] key.
    The results that match your search criteria are listed in the window.

  5. On the list, double–click the record you want to open.
    The selected record is displayed, open to the same tab as the first record. For example, if the first record has the Responsibility tab in focus, the second record opens to the same tab.  If required, you can compare details on the two records.
