Standing Orders

    Standing orders are template bills used to automatically bill a client on a fixed and regular basis. For example, some clients may want to be billed monthly, some others quarterly, to prevent ending up with a large bill at the end of a set of work.

    You can use existing client bills to create templates that will automatically generate a new bill for a particular client at regular time intervals (for example, monthly billing).

    Create a Standing Order

    1. To create a Standing Order, in the Bills tab of the Client window, located under the client’s Full Billing History, click the  button,  The Create New Standing Order Template window is displayed. 

    2. Alternatively, once a client bill is selected, click the Create button in the Standing Order and Draft Bills window (in the back office).
      Once set up there need not be any employee intervention as you can set standing orders to auto post. The bill will automatically be created and then posted without any need for submission or authorisation.

    The paragraph text on the original client bill that you base the standing order on will appear on each subsequent standing order that is created. This text can be amended from within the Microsoft Word document window when the bill is previewed, provided the Auto Post Bill option is not selected when the template is created.

    The fields in the Create New Standing Order Template window are:

    Next Date

    Set the date of the next bill.


    Select from the list to determine how often the standing order will be created.


    Set the number of standing order bills that will be created. For example, a year would be 11 entries, as the first month would be the template bill.

    Bill Time Out

    Set if the standing order will produce a bill total according to the total WIP ledger for the selected client.

    Min Amount to Bill

    Type a value in this field to produce a standing order only when the client’s total WIP is greater than the amount typed here.

    Auto Post Bill

    Select this check box to automatically submit, authorise and post the standing order bill produced.


    Displays the client who is being billed.


    If the standing order is being raised against an assignment level invoice, then the assignment being billed is displayed here.


    The Net, Tax and Total amounts to be billed on the standing orders are displayed here. These figures are taken from the original bill and cannot be amended here.

    Edit a current Standing Order

    1. Click the Bills tab for the client or assignment, then select the bill on which the standing order is based.

    2. Click the  button.

    3. In the Edit Standing Order Template window, make your changes then click OK.
