Entering unallocated receipts to a client

    An unallocated receipt is money received by the practice from a client who does not as yet have an invoice against which to match the payment. For example, when cash is received in advance of the work being billed.

    Once the prepayment has been entered, it is posted to update the debtor’s ledger. There is no matching at this stage as the invoice has not yet been generated. When the invoice is raised and posted, the unallocated receipt can then be matched.

    Enter unallocated receipts to a client

    1. From the main menu, click Bookkeeping > Cash Posting > Sales Ledger Receipts.
      On the Client > Assignment window, click Sales Ledger.

    2. In the Sales Ledger window, in the Task Bar on the left, click the Receipts option.
      The Receipt window appears.

    3. From the Company drop down list, select the company to whom the receipt is to be paid. The options in the Account drop down list automatically update according to the company selected.

    4. Select the Account to which the receipt is to be paid.

    5. From the Source drop-down list, select the method of receipt.

    6. Enter the Client Code for the client from whom payment has been received. If you do not know the full client code, you can click the Browse button File:dirname/pm/070_Bookkeeping/040_Cash+Posting/070_Sales+Ledger+Receipts/040_How+to+enter+unallocated+receipts+to+a+client/Ellipsis_button.gif that opens the Find Client window. Use the Find Clients window to locate the client. The system will populate the Client Name field automatically.

    7. Enter the Date of the receipt by selecting from the drop down calendar. The default date is the current date.

    8. Enter the Receipt Number.

    9. Enter the Receipt Number.

    10. Enter a Description for the receipt.

    11. Enter the Amount being paid.

    12. Select the Style of the receipt for printing.

    13. Click Post.
      The Tax on Unallocated Cash window appears.

    14. Define the following field:
      Tax Rate

    15. Click OK.
      The Posting confirmation message appears.

    16. Click Yes to proceed with the posting of the unallocated cash, or No to cancel the posting and return to the Receipt window.
      The unallocated receipt appears in the Receipt window.
