Background

Attaching back up information to accounts payable entries over multiple jobs for payments of appointee fees

Answer

Probably the best method to attach documents to all accounts payable would be by using the centralised accounts payable register in the Practice.

The follow describes these steps:
 

  1. Ensure that the Billing Practice is set for each job.

    This will be updated in the job once you process one bill using Billings and Write offs.
    Counterparties having a counterparty type of “Practice” may be selected.
    Note: you may have more than one Billing Counterparty.

     
  2. Create the accounts payable using Billings and Write offs

    If you are using AEPM integration then the bills can be imported using the bill import facility.

     
  3. Open the centralised Accounts Payable register in the practice

    Practice (main menu)> Transactions (menu) > Accounts Payable (menu)

     

The Centralise Accounts Payable register opens.

 

  1. Filter the Accounts Payable register by Supplier, selecting the Billing Practice

    Select the Billing Counterparty from the Supplier dropdown.
    The accounts payable register will filtered by the Billing Counterparty.

     
  2. Drag and drop the supporting information from the file system onto the centralised accounts payable register.
     
  3. Create the payments or batch entries from the centralised accounts payable register

    Select the Accounts as <Job Bank Account> to create individual batches and payments for each job.

     

A batch will be created for each job with the backup information attached.  Post the batches or complete the approval process (if configured) to complete the payment.
 

Notes:

If you attach supporting information to an invoice these documents will also appear for the payment.
