    Image Library

    The Image command can reference a specific image file from a location on your hard drive.  Alternatively, it is possible to create a "library" of images which will be stored within the Accounts database for use.  This may be advantageous as the images will be accessible by any AP user from any laptop or workstation which can run AP and the image will also be available if the data has been travelled out of your office.

    To add an image to the Image Library, click Maintenance > Accounts > Images.

    To add a new image to the library, click in the top left cell containing "Click here to add a new image".  Then select the ellipsis button to browse for the image file, remember to choose the correct image type (AP only supports jpeg, jpg, png and bmp files):

    The Image Name which will appear in the library and be used in the Image command defaults to the image filename. This default can be amended by editing the "File name" field in the Select Image to Upload screen. You can then enter an optional Description for the image to help you remember what the image relates to.  Press Enter to finish adding the image into the database.

    Images added using this maintenance screen are created as "practice" images.  This means that they can be added to any accounts job in your database. If you wish to add an image which can only be used for a specific client, then these images are added as follows:

    1. Open the Client and load the Accounting Period, then open the Financial Statements screen.
    2. Open any format and click the task "Add Image":

    3. Browse for the image file you wish to add remember to choose the correct image type (AP only supports jpeg, jpg, png and bmp files), select the file and click Open. The Image Name which will appear in the library and be used in the Image command defaults to the image filename. This default can be amended by editing the File name field in the Select Image to Upload screen.
    4. Confirmation message is displayed:

    5. Click OK.

    Notes

    • The Image Name must be unique. If you try to add a second image with the same name as an existing image in the image library, you will see:

    • If a client image has the same name as a practice image, AP will print the client image in preference.
    • The Image library maintenance screen indicates if an image is specific to a client by the information held in the "Client" column.  You can also filter the list of images using the radio buttons:

    • You may also click the "Filter: OFF" task on the task bar to add a more powerful filtering option to the grid, in common with most grid screens in Central.
    • You may rename an image in the Image library by clicking into the "Name" cell and editing the text as required.
    • You can delete any image from the Image Library, simply highlight the row in the grid and press the Delete key.  This includes images which may be referenced on a format.
