How to create Partnership, Sole Trader and Trust Clients

Overview

The Add New Client Wizard guides you through all the stages involved in creating a new client. You can use the wizard to create the basic details about the client and then complete the remaining steps on the Client Page at another time.

Type of Client

Select the type of client that you would like to create:

  • Partnership

  • Sole Trader

  • Trust

How to create a Partnership

The type of client you create or select determines the type of tax return you can create for that client. For example, if you select a client that is a person instead of an organisation then you can create an SA100 or R40 tax return.

Partnership Tax Return

A partnership client allows you to create a SA800 tax return. To create a SA800 tax return ensure that the client contact is set to partnership. You do this during the client creation process. You must set Contact Type to Partnership in the Add New Client Wizard.

How to Create a Tax Return for a Partnership Step 1 of 2

  1. From the menu select File > New > Client or use the shortcuts keys [Ctrl]+[L]. The Add New Client Wizard appears.

  2. Select Partnership from the Contact Type drop-down.

  1. Enter a unique client Code and the Main Name for the client as they are mandatory. If necessary also enter the Pre Name.

Note

Compulsory fields contain a small red triangle compulsory field.png and you cannot move forward until you complete these fields.

  1. Complete the remaining fields if necessary.

  2. Click the Other Details tab to enter details about the partnership. This includes:

  • Date commenced
  • Date ceased
  • Tick if non-trading partnership - Selecting this option determines the sources that appear for the tax return.

Note

You can complete the remaining tabs now or later.

  1. Click Finish. The Client tab appears and then the Add Assignment message. Click No.

  2. Click the partnership tab.png tab. This tab displays the details you just completed.

  1. Click new button from tabs.png to assign the partners. The Select partner window appears.

  1. Add additional partners if necessary and then click Finish.

Note

A partner can be an individual or organisation and you specify this during the assigning of the partner.

How to Create a Tax Return for a Partnership Step 2 of 2

  1. Click the tax returns tab.png tab.
  2. In the Tax Returns tab, select the click here to create a new tax return hyperlink.png hyperlink. The Create a new tax return wizard opens.

  3. Select the Tax year. This automatically completes the Reporting period dates.

  1. Click Next. This displays three options relating to Tax Year Roll Forward Options. If necessary select the options that you want to use.

  • Roll Forward the Tax Data
  • Retain previous year amounts?
  • Retain notes?
  • Create Statement of Accounts?

Note

You cannot select the roll forward options unless the client has a previously created tax return.

  1. Click Next. If want to use Central Workflow or Tax Workflow (Legacy) then select a template from the drop-down. Select None if you do not with to use workflows.

  2. Click Finish. The Tax Return Data Summary tab appears listing the tax return data sections.

How to create a Sole Trader

  1. From the menu select File > New > Client or use the shortcuts keys [Ctrl]+[L]. The first step Client Personal Details and Responsibility appears.

  2. In Contact Type select Sole Trade

Note

When you select Partnership,  Sole Trade or Trust from the Contact Type drop-down, the Contact Type determines the type of tax return you can create. For example, selecting Partnership means that you can create a SA800 tax return during the creation process.

  1. Enter the Code for the client which is mandatory. If the client is a person, the Last Name field is mandatory. If the client is an organisation, the Main Name is mandatory.

  2. Complete the remaining fields if necessary. You can skip the other tabs and complete them later. Click Finish.

How to create a Trust Client

  1. From the menu select File > New > Client or use the shortcuts keys [Ctrl]+[L]. The Add New Client Wizard appears.

  2. Select Trust from the Contact Type drop-down.

  1. Enter the Code and the Main Name for the client as they are mandatory. The Main Name normally includes the surname plus trust e.g. "Heston Discretionary Trust". If necessary also enter the Pre Name.

Note

The Main Name and Pre Name fields appear for organisations only. Use the Pre Name field if the organisation's name starts with 'A' or 'The'.  Enter the main part of the name in the Main Name field, as searches are based on the main name. When results are displayed you will see suppliers listed in alphabetical order instead of seeing them all listed under 'T'.

  1. Complete the remaining fields if necessary.

  2. Click the Other Details tab to enter details about the trust. This includes:

  • Tick if an Estate
  • Date created
  • Date wound up
  • Reason wound up

Note

Tick if an Estate denotes that the client is an Estate Return. Once set, this option cannot be removed.

  1. Click Finish. The Client tab appears and then the Add Assignment message.

  2. Click No. The Trust or Estate tab stores the details you previously entered.

How to open an existing Client

  1. Click the clients button.png button on the toolbar. The Find Clients tab appears.

  2. Do one of the following:

  • To display a list of all clients click the search.png button.

  • To display a restricted list, enter part or all of the name of the client in the search for field.pngfield and then click the Search button.

  1. Double-click on the client’s name to open it.

The search drop-down contains a number of search options:

Option

What it does

New Search

it clears any previous search criteria allowing you to enter fresh data to search for

Append to search...

it keeps any previous search results and adds records for a new search

New search from reports...

it allows you to search through information in specific reports instead of the database

New search from lists...

it allows you to search in a list of saved searches rather than the whole database.

How to Change the Contact Type for a Client

You can change a clients' type for existing clients.

  1. To change the Contact Type, click the Ellipsis ellipsis button outlined.png next to the Client Name on the Client tab. The Amend Client Name window appears.
  2. Choose the new contact type from the dropdown list.

  1. Click Ok to save the changes. 

Note

You may need to close and then reopen the client to update the information displayed.
